The Lead Capture Moment
An industrial buyer stops at your booth. Your colleague asks: “What brings you by?”
Their answer determines the next 6 months of your relationship.
The next 90 seconds—how you listen, qualify, and capture information—determines whether this lead closes or disappears.
The Booth Conversation Framework
Opening (10 seconds)
Them: Stops at your booth, looking at booth display
You: “Hi! What brings you by?” (Not: “Come check this out!”)
Why: Open-ended question = they tell you what matters to them
Qualification (30-60 seconds)
Their answer reveals intent. Listen for:
- Role: “I’m the Operations Manager…” (Decision-maker clue)
- Problem: “We’re trying to…” (Need statement)
- Timeline: “We need this by Q4…” (Urgency clue)
- Budget: “We have allocation for…” (Financial readiness clue)
Your response: Ask one follow-up question to clarify the problem.
“When you say lead times are unpredictable, what does that cost you each month?”
Engagement (30-90 seconds)
If they’re qualified, your technical expert joins the conversation.
Focus: How your solution directly addresses their stated problem.
Them: “Our suppliers miss deadlines constantly.”
You (Technical Expert): “That’s exactly the challenge we solve. Here’s how one company like yours reduced missed deadlines by 40%…”
Capture (30-45 seconds)
If interest confirmed, move to lead capture.
You: “I want to follow up with you specifically on this. Can I grab your contact info?”
Approach 1 (Professional): “Can I photograph your business card?” (Scan it with phone or card scanner)
Approach 2 (If no card): “I’ll take your email, and I’ll send you [specific resource] by tomorrow.”
Approach 3 (If they’re hesitant): “How can I reach you after the show to send you that case study?”
Lead Capturing Questions (Beyond Name/Email)
Question 1: “What’s the biggest challenge you’re trying to solve?”
- Records their own words (not your interpretation)
- Use in follow-up: “You mentioned [their exact worry]…”
Question 2: “Are you involved in purchasing decisions for [your solution type]?”
- Confirms decision authority
- Hot lead: “Yes, we make the final call”
- Warm lead: “I influence the decision”
- Cold lead: “I just report back to someone else”
Question 3: “When are you likely to make a decision on this?”
- Hot: “This quarter”
- Warm: “This year”
- Cold: “We’re just researching”
Question 4: “What does success look like for you?”
- Reveals desired outcome
- Helps you understand their buying criteria
Lead Capture Technology Options
Option 1: Business Card Scanner (Most Professional)
Tools:
- Evernote Scannable
- Receipt Bank
- CardScan (iPad app)
- Manual scan with smartphone
Pros:
- Fast (5 seconds per card)
- Accurate
- Automatic OCR (reads data from card)
- Creates searchable database
Cons:
- Requires iPad + setup
- May be intimidating to older attendees
Option 2: iPad Lead Form (Middle Ground)
Example form fields:
- Name
- Title
- Company
- Phone
- “What’s your biggest challenge?” (open text)
- Qualification checkbox (hot/warm/cold)
Pros:
- Immediate data capture
- Can sync to CRM in real-time
- Low tech requirement
Cons:
- People sometimes enter invalid email
- Slower than card scanning
- Requires WiFi/cellular connectivity
Option 3: Paper Forms (Last Resort)
Only if technology fails. But have backup forms available.
Design:
- Large, clear boxes for handwriting
- Only 4-5 fields (people hate long forms)
- QR code or URL for follow-up link
Qualification Scoring During Booth
Assign Points (0-40 scale)

Common Lead Capture Mistakes
Mistake 1: Pitching Instead of Asking
Wrong: “Let me tell you what we do…” Right: “What’s your biggest challenge right now?”
Listen longer than you talk.
Mistake 2: Taking Every Lead Equally
Problem: You treat a coordinator the same as a VP. Result: 60% of follow-up time wasted on low-probability leads.
Solution: Qualify ruthlessly. Cold leads get a different follow-up path than hot leads.
Mistake 3: Writing Information While They Wait
Problem: Looks unprofessional. Slows conversation. Accuracy issues. Solution: “Let me photograph your card” or “I’ll note your email.”
Mistake 4: Not Capturing the Specific Problem
Wrong Notes: “Manufacturing company, interested in efficiency” Right Notes: “Tries to reduce supplier lead time variability; currently 30-60 day variance, costs them $200K/month in safety stock”
Specific = better follow-up.
Information You Must Capture (Minimum)
- Name, Title, Company, Email, Phone — Basic contact info
- Department/Function — Context for sales follow-up
- Their Problem in Their Words — For personalized outreach
- Timeline — When they might buy
- Decision Authority — Are they the buyer or influencer?
- Qualification Score — Hot/warm/cold for follow-up routing
Post-Booth Lead Organization
Immediately after show (within 4 hours):
- Scan all remaining business cards (if not done at booth)
- Review all iPad forms for accuracy/completeness
- Assign qualification scores based on criteria above
- Route to CRM: Tag with show name + qualification level
- Create follow-up tasks:
- Hot leads: Call within 24 hours
- Warm leads: Email within 24 hours
- Cold leads: Add to drip campaign

- Paper backup forms printed and available
- CRM synced and ready for data entry
- Team member assigned to lead capture

- Post-show lead review scheduled for within 4 hours
