Pre-Show Outreach Strategy
By Vince Romeo | Updated June 2026
Why Pre-Show Visibility Wins Trade Shows
The booth conversation is only powerful if the prospect already knows you exist.
Industrial buyers research before shows. If your target contact doesn’t see your messaging in the 6-8 weeks before the show, they won’t recognize your booth. They’ll walk past.
Pre-show outreach creates momentum. It plants seeds. It creates recognition.
This guide covers three channels: direct mail, email, and account-based contact.
Channel 1: Direct Mail (Highest ROI for Industrial)
Timeline: 6 weeks before show
What to send:
- Personalized postcard or letter (not generic mailer)
- Company name, your name, booth number
- One clear value prop (matched to recipient role)
- Show dates
- CTA: “Schedule 15 minutes with me at booth #X”
Sample postcard:
FRONT:
[Your company logo]
“See what 40+ manufacturing plants did to reduce supply chain disruption by 60%”

Channel 2: Email Campaign (4 Emails, 6 Weeks Lead Time)
Email 1 (6 weeks before): “We’re coming to [Show]”
Subject: “See what we showed at [Competitor Show] | [Your Company]”
Body: One success story + booth number + link to book time
Email 2 (4 weeks before): “Problem statement match”
Subject: “The biggest mistake companies make with [Their Challenge]”
Body: Problem statement + case study + invitation to booth
Email 3 (2 weeks before): “Social proof”
Subject: “How [Industry] leaders prepare for [Key Challenge]”
Body: Industry-specific insights + booth number + CTA
Email 4 (1 week before): “FOMO + specific offer”
Subject: “3 technical assessment slots remaining at [Show]”
Body: Limited-time offer + booth number + direct phone number
Channel 3: Account-Based Outreach (LinkedIn + Email)
For key accounts you want to deepen:
Week 6 before show:
- LinkedIn connection request to target contacts
- Personalized message: “Looking forward to connecting at [Show]”
Week 4 before show:
- Email: “Coffee at [Show] — specific time offer”
- Include: Why the meeting matters to them
- Include: What you’ll discuss
Week 2 before show:
- LinkedIn message reminder: “Still on for Tuesday?”
Week 1 before show:
- Confirmation email: “I’ve booked [Specific Time] at [Specific Location]”
Pre-Show Content to Support Outreach
Ideal collateral to reference in pre-show messaging:
-
Case Study (1 page, PDF)
- Customer name (if permitted), challenge, solution, result
- Specific metrics (% improvement, $ saved, speed gained)
-
Whitepaper (8-12 pages)
- Industry problem overview
- Multiple solution approaches
- Your approach + differentiation
- ROI framework
-
ROI Calculator (interactive tool or simple spreadsheet)
- Input their assumptions
- Output: Projected savings or revenue impact
- Creates personalized value prop
-
Customer List (if you can share)
- Logo wall or company list
- Demonstrates reference-ability

Tracking Pre-Show Results
At the show:
- Ask attendees how they heard about you
- Note: “Saw your mailer” or “Got your email”
- Create booth tracking report
Post-show:
- What % of hot leads mentioned the pre-show message?
- For your 500 postcards: How many generated booth visits?
- Calculate: ROI of pre-show spend
Example:
- Pre-show direct mail: $1,125
- Booth visits from “saw mailer” attendees: 45
- Qualified leads from those visits: 18
- Deals closed from those leads (6 months later): 3
- Revenue: $600,000
- ROI of pre-show: 533x
Next: Master the lead capture process once they’re at your booth (see Lead Capture at Industrial Trade Shows).
